Delete your Hailo Agency account

For anyone who signs in to the Hailo Agency app or portal, published by Hailo LLC. Last updated September 7, 2026.

How to request deletion

Your Hailo Agency login lives inside your agency's workspace, so we verify every deletion request before acting on it. You do not need to be signed in, and you do not need the app installed.

    Send us the request

    Email support@hailocare.com from the email address you sign in with, using the subject "Delete my Hailo Agency account". The button below opens a pre-filled email. In the app, go to Account → Delete my account, which brings you to this page.

    We verify it's you

    We confirm that the request came from the email address on the account. If it did not, or the account has a different email or phone on file, we will send a one-time code to the contact details on the account and ask you to reply with it.

    We confirm and delete

    We acknowledge the request within 2 business days. Once verified, your access is removed right away and you are signed out of every device. Deletion of your personal data is completed within 30 days, and we email you when it is done.

If you own the agency

Staff accounts and the agency workspace are separate. A coordinator, scheduler, or office administrator can have their own account deleted without affecting the agency. If you are the agency's only owner, tell us in your request whether you also want the agency workspace closed:

  • Keep the workspace open. Name a teammate to take over as owner. We transfer ownership, then delete your account.
  • Close the workspace too. We cancel any paid subscription, remove access for every staff member, and delete the agency's data after the retention periods described below. Caregivers who work for your agency keep their own Hailo Caregiver accounts.

An agency owner can also remove a teammate's access at any time from Team in the portal. Removing access alone keeps the person's Hailo account; use the steps above to delete it.

What is deleted, and what is kept

Deleted

  • Your sign-in: email and password, trusted devices, and one-time code history.
  • Your staff profile: name, email, phone, role, and photo as shown to teammates.
  • Notification settings, push-notification device tokens, and app preferences.
  • Your membership in the agency's workspace.

Kept

  • The agency's business records you created or acted on: client and caregiver records, schedules, visit and EVV records, billing, payroll, signed documents, and messages sent to clients, caregivers, and teammates. These belong to the agency, not to your login.
  • Audit logs of actions taken under your account, including your name on those entries. Audit logs are append-only by design.
  • A record of your deletion request, kept as proof that we honored it.

How long kept records are retained

Agency records are retained for the periods required by home-care licensing, Medicaid and EVV, tax, and employment law, which is typically up to 7 years and longer where the law requires. They stay access-restricted for that time and are then deleted or de-identified. If the agency's workspace is closed, the same retention periods apply to its records, after which they are deleted. Full retention criteria are in Sections 17 and 19 of our Privacy Policy.
